Social Media Tracking Spreadsheet: How to Track Promotion Results Yourself

How to build a social media tracking spreadsheet that shows which accounts and posts earn: tabs, columns and formulas, a weekly routine, and the mistakes that make the numbers lie.

Dashboards from platforms and programs each show one piece of the picture. A spreadsheet is where you put the pieces together and answer the only question that matters: which accounts and posts make money, and which only take time.

You don't need advanced formulas. Three tabs, a few columns and a weekly habit are enough.

Three tabs

TabOne row isFilled from
AccountsOne accountYour own setup notes
PostsOne postYou or your posters, daily
Weekly resultsOne account in one weekLink stats + program dashboard

Keep logins out of the sheet; they belong in a password manager. The accounts tab only says which account it is, its purpose, its tracked link and its status. Managing multiple accounts has a full inventory layout.

Columns for the weekly results tab

  • Week (start date) and account.
  • Posts made that week (count from the posts tab).
  • Clicks on the account's tracked link.
  • Conversions from the program's dashboard, matched by the link's tag.
  • Earnings for the week.
  • Clicks per post = clicks / posts.
  • Conversion rate = conversions / clicks.
  • Earnings per click = earnings / clicks (EPC; see the glossary).
  • Notes: what changed (new format, limit, a viral post).

The matching only works when every account has its own tag in the link. Build them with the tracking link builder; how tracking links work explains why.

Reading it: a worked example

Made-up numbers for one week, to show how the columns work together:

AccountPostsClicksConv.Clicks/postConv. rate
Reddit A64209702.1%
TikTok B149808700.8%
X C2015017.50.7%

TikTok B gets the most clicks, but Reddit A turns them into conversions more than twice as well with less than half the posts. X C is costing time for little return: rework its content or move those hours elsewhere. Without the sheet, the big click number on TikTok would have hidden that.

The weekly routine

  1. 1Same day each week, export clicks per link from your link tool.
  2. 2Copy conversions and earnings per tag from the program's dashboard.
  3. 3Fill one row per account in the weekly tab.
  4. 4Sort by earnings per click and by conversion rate.
  5. 5Write one decision in the notes: keep, change or stop.

Mistakes that make the numbers lie

  • Several accounts sharing one link, so nobody knows which earned.
  • Counting clicks from your own testing. Use a private window and don't click your live links.
  • Comparing a week with a holiday or a ban against a normal week without a note.
  • Mixing time zones between the link tool and the program dashboard.
  • Judging a new account on its first week.

One more trap: a sheet nobody fills in. If posters skip logging, the posts tab goes stale and the weekly numbers can't be explained. Make the log part of the posting routine itself, a step before the task counts as done, rather than an extra job at the end of the day. FAQ

What should a social media tracking spreadsheet include?+

An accounts tab, a posts log and a weekly results tab with posts, clicks, conversions, earnings and three ratios: clicks per post, conversion rate and earnings per click.

Can I track affiliate conversions in a spreadsheet?+

Yes, if each account or post uses its own tagged link. You copy conversions per tag from the program's dashboard into the sheet each week.

Excel or Google Sheets for tracking promotion?+

Either works. A shared online sheet is easier for a team because everyone fills the same file and you can see edits.

How do I calculate earnings per click?+

Divide the week's earnings for an account by the clicks on its tracked link in the same week. It is the fairest single number for comparing accounts that get very different amounts of traffic.
